Privacy Policy
Last updated 26 October 2026.
This policy explains how Adaptiv AI collects and uses personal information when you visit adaptivaihub.com, contact us, subscribe to our newsletter or talk to us about working together. It is written to meet the Nigeria Data Protection Act 2023 (the NDPA) and the General Application and Implementation Directive 2025 (the GAID) issued by the Nigeria Data Protection Commission.
Who we are
Adaptiv Artificial Intelligence Limited ("Adaptiv AI", "we", "us"), a company incorporated in Nigeria with registration number RC 9469692, of 3 Anietor Ogie Street, Off Kings Avenue, Goodwill Estate, Ojodu, Lagos, Nigeria.
We are the data controller for the personal information described in this policy. For anything about your personal information, contact our data protection contact at hello@adaptivaihub.com with "Privacy" in the subject line.
This policy does not cover systems we build or run for our clients. When we process personal information inside a client's system, the client is the data controller and we act as their data processor under a written agreement with them.
What we collect
Information you give us
When you contact us through the contact form: your name, work email, phone number, company, team size, the message you write and, if you choose, a preferred time for a discovery call.
When you subscribe to our newsletter: your email address and, if you give it, your name.
When you comment on a blog post: your name, email address and comment.
When you request a guide or other resource: the details the form asks for, usually your name, email and company.
When we speak or work together: what you tell us in emails, calls and meetings about your business.
Please do not send us sensitive personal information (such as health, religious or biometric information) through the website.
Information collected automatically
Strictly necessary information: your IP address, browser type and the pages you request are recorded in our server logs to keep the site secure and working. These logs are not used to identify you.
Analytics, only with your consent: if you accept analytics cookies, we record the pages you visit, how you arrived (for example a search engine or a link), the device and browser type, and an approximate location derived from your IP address. We do this with our own analytics and with Google Analytics. See our Cookie Policy.
Information from public sources
When you contact us from a company email address, we look at your company's own public website so that we can understand your business before we reply. We do not buy personal data or collect it from data brokers.
Why we use it, and our lawful basis
The NDPA requires a lawful basis for each use of personal information (section 25).
To reply to your enquiry and prepare for a discovery call: to take steps you have asked for before entering into a contract, and our legitimate interest in responding to people who contact us.
To research your company from its public website: our legitimate interest in understanding a business before advising it. This uses business information, not private information about you.
To send our newsletter: your consent. You can unsubscribe from any email at any time.
To publish and moderate blog comments: your consent, which you give by submitting a comment.
To measure how the website is used: your consent through the cookie banner. You can withdraw it at any time from "Cookie settings" at the bottom of every page.
To keep the website secure and prevent misuse: our legitimate interest in protecting our systems and visitors.
To provide services under a contract: performance of the contract.
To meet legal, tax and regulatory duties: compliance with a legal obligation.
Where we rely on legitimate interests, we have considered your rights and expectations, and you may object at any time.
How we use AI tools
We use AI tools to summarise your enquiry and the public information on your company's website for our team, so that we can reply quickly and with context. A person at Adaptiv AI always reads your enquiry and decides what to do. We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects (NDPA section 37), and we do not use your information to train AI models.
Who we share it with
We do not sell your personal information and we do not share it for anyone else's advertising. We share it only with service providers who process it for us, under contracts that require them to protect it:
Cloud hosting and infrastructure: Amazon Web Services, which hosts our website and the AI tools described above.
Database and file storage: Supabase, which stores enquiries, subscribers and website content.
Analytics, with your consent: Google (Google Analytics).
Email delivery: Resend, which sends our emails and newsletters.
Internal team messaging: Slack, where our team is alerted to new enquiries.
We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or reorganisation of our business, in which case the new owner must protect it in the same way.
International transfers
Our service providers store and process information on servers outside Nigeria, mainly in the United States and the European Union. We transfer personal information outside Nigeria only in line with sections 41 to 43 of the NDPA: where the destination provides an adequate level of protection, or with appropriate safeguards such as contractual commitments from the provider, or where another condition in the NDPA applies, such as the transfer being necessary for steps you have asked us to take.
How long we keep it
Enquiries and discovery call information: up to 24 months after our last contact with you, unless you become a client.
Client information: for the length of our contract and up to six years afterwards, to meet legal, tax and accounting obligations and to deal with any claims.
Newsletter subscriptions: until you unsubscribe. We then keep only a record that you unsubscribed, so that we do not email you again.
Blog comments: while the post is published, or until you ask us to remove your comment.
Analytics information: up to 14 months.
Server logs: up to 90 days.
When information is no longer needed, we delete it or make it anonymous.
How we protect it
We use appropriate technical and organisational measures (NDPA section 39), including encryption of information in transit, access limited to the people who need it, individual accounts for each team member with two-step sign-in available, and audit logs of changes. If a personal data breach is likely to result in a risk to your rights, we will notify the Nigeria Data Protection Commission within 72 hours of becoming aware of it and, where the risk is high, tell you without undue delay (NDPA section 40).
Your rights
Under the NDPA you have the right to:
access the personal information we hold about you and receive a copy;
correct information that is inaccurate or incomplete;
delete your information where we no longer have a reason to keep it;
restrict how we use it in certain circumstances;
object to our use of it based on legitimate interests, and to direct marketing at any time;
receive it in a portable form and have it sent to another organisation where technically possible;
withdraw your consent at any time, without affecting what we did before you withdrew it; and
not be subject to a decision based solely on automated processing that has legal or similarly significant effects on you.
To use any of these rights, email hello@adaptivaihub.com with "Privacy" in the subject line. We may need to confirm your identity before acting. We will respond within 30 days and there is no charge, unless a request is clearly unfounded or excessive.
If you are not satisfied with how we have handled your information, you can complain to the Nigeria Data Protection Commission at ndpc.gov.ng. We would appreciate the chance to put things right first.
Children
Our website and services are for businesses and are not directed at anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this policy as our services or the law change. The date at the top shows when it last changed. If a change materially affects how we use your information, we will tell you on this page and, where we have your email address and the law requires it, by email.
